1. Overview

Fruition RevOps, Inc. (“Fruition RevOps,” “we,” “our,” “us”) provides the Talk-to-Tasks application and Quick Data Flow (QDF) automation solutions that transform meeting recordings into structured, routed tasks inside project management platforms such as Notion, Monday.com, Asana, Trello, and others.

This Privacy Policy describes how we collect, use, store, and protect information when you use Talk-to-Tasks or any QDF product.

By using our services, you agree to the practices outlined here.

2. Information We Collect

2.1. Account Information

When you create an account, we collect:

• Name

• Email address

• Password (hashed and encrypted)

• Company name (optional)

• User role (Account Holder, Admin, Team, Guest)

• Billing information for paid plans

We do not store plaintext passwords.

2.2. Uploaded Meeting Files (“Talks”)

If you upload a video file directly, the file is:

• Temporarily stored for processing

• Deleted immediately after processing completes

• Never used for training AI models

• Never retained for any other purpose

We do NOT store uploaded video files after processing.

2.3. Meeting Recordings via URL (Zoom/Google Drive/Dropbox/etc.)

If you provide us with a link to a recording:

• We access the file only long enough to generate tasks

• We do NOT download, copy, or permanently store the video

• We retain no video data

The link may be stored in your “Talks” list, but can be manually deleted by you at any time.

2.4. AI Processing Data

To convert your meeting into tasks, we temporarily process:

• Transcribed meeting content

• AI-generated task summaries

• Task-related metadata

All AI processing is handled via secure, encrypted API calls (e.g., OpenAI).

We do not use your data to train or improve external AI models.

2.5. Task Data

When tasks are created inside the App or routed to Notion/Monday/Asana/etc., we store:

• Task title

• Task description

• Assigned user

• Project selection

• Due date

• Internal task link

• Metadata needed for routing & syncing

You can delete this data at any time.

2.6. Slack Integrations (“Talk Groups”)

If you connect Slack:

• We collect only what is necessary: channel ID, workspace ID, and messages you choose to send to the App

• Task links are posted in the Slack thread as requested

• We do not monitor or record other Slack activity

2.7. Usage & Analytics

We may collect anonymized analytics for:

• Feature usage

• Error logs

• Performance

• System diagnostics

This information is not tied to any personal identity.

3. How We Use Your Information

We use your information to:

• Process meeting recordings

• Generate and refine tasks

• Assign tasks to your selected project platform

• Maintain account access and user permissions

• Improve functionality and support

• Provide billing and subscription services

We do NOT:

• Sell your data

• Monetize your data

• Train AI models on your data

• Share your meeting content with third parties

4. How We Protect Your Data

We use industry-standard security practices, including:

• End-to-end encryption

• HTTPS and TLS 1.2+

• Role-based access controls

• Automatic file deletion

• Zero retention of uploaded videos

• SOC 2–aligned infrastructure providers

5. Data Retention

• Uploaded files: Deleted immediately after processing

• AI processing data: Temporary, then purged

• Task metadata: Stored until deleted by user

• Account data: Stored until account deletion

6. Sharing Your Information

We only share information with:

• Infrastructure vendors (e.g., AWS, OpenAI)

• Payment providers (Stripe)

• Workspace tools you explicitly connect (Slack, Notion, Monday, etc.)

We never sell or rent your information.

7. Your Rights

You have the right to:

• Access your data

• Correct your data

• Delete your data

• Export your data

• Close your account
