HubSpot + Intercom + RingCentral + Klaviyo
Turn Disconnected Conversations Into One Customer Timeline
Inside the Kitchen
In this use case, follow how a fast-growing visa and passport services company used Fruition’s CDHS-governed integrations to connect four disconnected apps into one shared customer journey. With chats, calls, forms, and lifecycle updates flowing into a single HubSpot timeline, the team gained full visibility and reclaimed ten hours every week.
The Ingredients
Tools & Platforms Used
HubSpot
(CRM + lifecycle engine)
Intercom
(chat + support)
RingCentral
(telephony + recordings)
Klaviyo
(lead capture + marketing automation)
Slack
(alerts + team coordination)
The Mess in the Kitchen
The business was drowning in invisible data.
Every tool did its job perfectly. Intercom handled chats. RingCentral logged calls. Klaviyo captured leads. HubSpot tracked deals.
But none of them spoke to each other, so a customer could chat in the morning, call in the afternoon, and submit a form that night. Each team would greet them like someone brand-new (!).
Important context existed… just never in the same place.
By Friday, the team was burning 10–12 hours every week This wasn’t a tooling problem — it was a coordination problem. exporting CSVs, copying notes, and stitching timelines together just to figure out who was who and what happened when.
This was a visibility issue that only a governed HubSpot integration could solve.
What They Wanted to Serve
Our client didn’t need another platform or a massive tool overhaul. Nobody has time for that.
They just needed the tools they already used to finally work together.
They weren’t looking for more automation. They needed shared understanding.
One timeline for every customer touchpoint
No more manual exports, imports, or tab-switching
Real-time alerts for support, sales, and operations
A single source of truth across tools without buying new software
Our Recipe
We mapped the company’s SOPs first, not the tools.
Then we built a lightweight orchestration layer using the Centralized Data Hub System (CDHS) to govern the connections between platforms and make each tool “fluent” in the company’s customer journey.

Connect Ingredients
Integrated HubSpot with Intercom, RingCentral, and Klaviyo via CDHS using clean API-level rules — every tool stayed in place, but they finally spoke the same language.

Measure & Mix
- Klaviyo leads synced into HubSpot with source + campaign tags
- Intercom chats surfaced HubSpot contact + deal context in real time
- RingCentral calls auto-logged and matched to contacts in HubSpot
- Contact updates flowed back from HubSpot to chat + phone systems

Taste & Adjust
- Slack alerts for missed fields or sync errors
- SOPs written for sales + support flow
- Contact and lifecycle governance rules enforced
How It’s Served
Once the system was live, every customer interaction updated a single shared timeline automatically.
Intercom chats, RingCentral calls, and Klaviyo form submissions were immediately matched to the correct HubSpot contact, with lifecycle stage, attribution, and history kept in sync. Conversations no longer lived in isolation; each touchpoint appeared in the right place as it happened.
CDHS governed how data moved between systems, enforcing required fields, applying lifecycle rules, and triggering Slack alerts when exceptions occurred. Issues were caught early, before they created confusion downstream.
Sales, support, and operations worked from the same source of truth. No exports, no stitched timelines, and no guessing where a customer came from. Context stayed intact, visibility was restored, and teams reclaimed hours each week without adding new tools.
The Review
Today, no one asks, “Who is this lead?” or “Where did this customer come from?” The moment a chat begins, a phone call arrives, or a form converts, the system identifies the contact and updates their record automatically.
Before
- Customer timelines lived across four apps with no shared visibility
- Chats, calls, and form submissions had to be stitched together manually
- Ten to twelve hours weekly spent exporting CSVs and copying notes
- No real-time alerts to catch missing data or ownership gaps
After
- Klaviyo campaign and source data syncs automatically into deals
- Lifecycle stages advance without manual updates
- Slack alerts route exceptions and ownership in real time
- Response times improved by more than forty percent
- Ten to twelve hours reclaimed weekly that had been lost to manual work
Turn Disconnected Conversations Into Context
We work with teams to connect calls, chats, forms, and lifecycle data across any tools they already use.
Don’t wait until missed context, manual work, or routing gaps start creating delays and revenue leakage.
