The first attempt at modernization was implementing HubSpot. This helped a little, and did give the sales team better visibility into deals and customer relationships. But HubSpot is not designed for inventory management, so sales engineers and operations managers tried bending it to fit. Eventually, they ended up right back in Excel, where each sheet was bursting at the seams.

Diagnosing the Problem

A sales order in HubSpot triggered updates in CIN7 for inventory, in NetSuite for invoicing, and in Monday.com for project management. Shipments logged in logistics systems flowed back into HubSpot so sales and service teams had real-time visibility.

The process began in HubSpot, where customer and RFQ details were captured. Sales engineers used this data to design product specs and generate quotes. Instead of guessing at supplier availability, they now had a unified inventory view through CIN7, including in-house components and vendor stock. If a part wasn’t available, adjustments could be made before committing to the client.
Inventory and Production
Once approved, HubSpot generated a SKU that synced directly into CIN7. This created a unique product record tied to the sales order. CIN7 then produced manufacturing orders linked to the same ID, ensuring production teams were working with accurate, traceable information. Assemblies and serial numbers were tracked automatically, eliminating manual errors.
Finance and Invoicing
When deals were finalized, data flowed directly from HubSpot and CIN7 into NetSuite. Finance teams no longer had to re-enter customer or product details. Invoices and revenue recognition were handled automatically, with updates syncing back into HubSpot for visibility.
Project Management
As soon as finance confirmed initial payments, Monday.com boards were created automatically. Each board contained preloaded SKUs, serials, and timelines so design, production, and shipping teams could begin work immediately.
Logistics and Delivery
Shipping details were managed in Shipwell, with full SKU and order data synced to NetSuite and HubSpot. This gave both teams and customers real-time shipment tracking.
