Single Source of Truth (SSOT) for Modern Business
What Is a Single Source of Truth, Anyway?
A Single Source of Truth (SSOT) is the foundation of a connected business. All your data lives in one consistent hub that every team can rely on. Instead of each department managing its own version of “the truth,” an SSOT unifies CRM, ERP, Finance, and Operations into one hub.
It’s more than just a piece of software. SSOT is a framework for how your company treats data across every system. With one consistent source, you avoid silos, reduce errors, and empower teams to make decisions with confidence.
The High Cost of Running Without a Single Source of Truth
Disconnected systems do more than slow down your operations. They drain time, revenue, resources and create constant friction between teams. When every department manages its own version of the truth, inefficiency multiplies and revenue quietly slips away.
Conflicting Reports
When data lives in different places, teams cannot agree on the numbers. Leadership ends up debating reports instead of driving progress, and projects stall while people search for answers.
Duplicate Work
In the absence of a central hub, teams enter the same information again and again across multiple systems. Hours disappear into reconciliation and manual updates that add no real value.
Lost Time
Every reconciliation task and every mismatched record drags schedules behind. Teams lose momentum as they stop to clean up data, and the pace of execution slows across the business.
Revenue Leaks
Errors and inefficiencies hit the bottom line. Small inconsistencies in data create costly mistakes, and profit slips away without teams realizing how much is being lost.
Steps to Building a Single Source of Truth
Creating a Single Source of Truth is not a quick fix. It is a structured process that demands the right framework, the right tools, and complete alignment across the business.
Assess Current Systems
Establish Data Governance
Connect the Right Tools
From CRM to ERP, Finance to Operations, each system must be integrated into a single hub where information flows without friction. This connection removes silos and keeps everyone aligned.
Train and Align Teams
Technology succeeds only when people adopt it. Fruition ensures a smooth transition with onboarding, training, and communication that bring every department into the process.
With Fruition’s Let IT Flow Framework, these stages move faster and stay organized. The result is a reliable SSOT that gives your business a foundation for lasting growth.

They Were Managing $100m in Orders on Sprawling Excel Spreadsheets and Disconnected Apps… Until the CDHsystem Turned Revenue Leaks Into a 35% Productivity Gain.
One of our clients, a fast-growing manufacturing and infrastructure company, faced major challenges with disconnected systems. Sales, Finance, and Operations all relied on separate tools, which created constant firefighting and inefficiency. Each department was working hard, but the lack of a central hub slowed growth and frustrated teams.
Unify Systems With the CDHsystem
We implemented the CDHsystem, integrating the organization’s existing tools and onboarding new platforms for specific needs: HubSpot for RevOps (Marketing, Sales, and Service), NetSuite for finance, CIN7 for production control, Monday.com for project execution, ShipWell for delivery, and Slack for communication.
The CDHsystem acted as the backend to control, manage, and schedule APIs and webhooks, determining which actions are triggered and when. In this case, HubSpot served as the front face of the SSOT (Single Source of Truth) for company management and executive teams, providing powerful dashboards and accurate, real-time reports.
One of the main objectives of the SSOT was not to force different departments to use the same system (“because they already have it”), but to let each team work with the platform best suited to their needs.
Behind the scenes, the CDHsystem pushed data to every system in real time to ensure accuracy. This also meant the finance team no longer needed to re-enter the same information into multiple systems, including HubSpot. Even though HubSpot is not part of their daily workflow, the data they need is automatically available in NetSuite Finance.
Scale Without the Chaos
Prior to the CDHsystem implementation, every attribute had to be entered multiple times across different places, systems, and spreadsheets (yes… those spreadsheets with three-letter names—dozens of them).
With the Centralized Data Hub (CDHsystem) in place, each attribute only needs to be typed once; the CDHsystem handles the rest, pushing it at the right time and in the right way to other platforms.
A new process follows a repeatable path, with automations generating the company’s most critical IDs—serial numbers, SKUs, item IDs, or sales orders. Expansion no longer requires rebuilding systems; it simply means plugging into an existing model.
Results That Speak for Themselves
Productivity increased by 35% as duplicate entries and manual reconciliations were replaced with usable data. As the company’s revenue scaled seamlessly past the $100M mark, the CDHsystem was built to grow alongside it—helping the company handle a larger volume of orders without requiring more staff and without breaking under pressure.
Forrester Study Shows: 285% ROI with SSOT Implementation
When a company establishes a Single Source of Truth (SSOT) for project planning and progress, it gains the ability to track real-time performance against strategic priorities—saving time in both planning and meetings. A Forrester Study showed that this shift contributed to a 285% return on investment.
By unifying systems into one Centralized Data Hub (CDH), our client gained more than efficiency—it gained confidence. The company resolved a costly issue where inconsistent data across multiple systems had caused the wrong item (worth tens of thousands of dollars) to be shipped to a client. With unified data governance, every decision—from sales forecasting to production planning—was based on a single trusted source of truth.
